1. Promo Specialist needs to use the Excel tab according to the relevant product range:

When the relevant product range is chosen, each GSheet consists of tabs with printed promotional material type:

Each tab has columns with products forms:

Both range and form are mentioned in the product description.

Promo Specialist needs to copy the relevant columns and paste into the GSheet for the Promotional Material Content (Distributors) by keeping only the applicable product range/promo material type/product form:

For example:

The order consists of Vitamin C 500mg tablets and Paracetamol 500mg tablets:

  • Vitamin C 500mg tablets belong to the Supplement range, so the promo item content related to this product will be added to the GSheet “Supplements - Promotional Material Content” under the decided type of the promo item (let’s say the customer informed us the Vitamin C tablets will be sold in pharmacies and we decided to put a wall poster there)
  • Promo Specialist is to go to the master template for the content and copy the columns under the tab “WALL POSTER/STANDING BANNER” to the “Supplements - Promotional Material Content” GSheet to the created tab “WALL POSTER/STANDING BANNER - [Customer Code] - [SOXXXX]

For example, Paracetamol tablets 500mg would be in a separate GSheet tab under “Pharma - Promotional Materials Content”

2. After all tabs are copied, Promo Specialist will fill out the content answering the questions from the 1st column which will become the content for the design specialist to put in the promo material mockup.

Here is the explanation of how it can be done for the product we used as an example - Vitamin C 500mg Tablets.

2.1 Distribution Channel:

At this moment, Promo Specialist will select the distribution channel for this product. Let’s say we received information from the customer (or Salesperson) that the tablets will be sold in pharmacies.

2.2. Target Audience:

Promo Specialist is to choose who the wall paster for the Vitamin C 500mg tablets will be targeted for. Since the wall poster will be placed in pharmacies, we can say that the audience who sees the poster will be end consumers. Therefore, we will choose “B2C”:

2.3. Logo:

Any promotional material will always have the AdvaCare logo. However, it also can be a logo of a brand of AdvaCare that represents the product range. In our example with Vitamin C 500mg tablets, since it belongs to the Supplement range, it will be the “AdvaLife” logo as the dietary supplement brand of AdvaCare.

As for the Distributor logo, Promo Specialist is to check with Customer if we can put their logo on the design. By adding a customer logo, we associate the product/range of AdvaCare with the Customer’s company.

2.4. Primary Image:

Promo Specialist is to choose the most suitable option from the dropdown: a stock photo with person(s) relevant to the market where the product will be sold to OR the product image:

2.5. Background Image:

A stock photo that matches the concept of the product. Check similar, already produced item designs to get an understanding of what kind of overall design layout includes the background image:

2.6. Title

Title is the main messaging of the promo item and has to filled in by Promo Specialist for the Design Specialist.

2.7. Product Image (optional):

If the product image is not used as the primary image, it is on Promo Specialist to select what kind of product image shall be used in the design:

2.8. Quality Logos:

Promo Specialist needs to select the logos applicable to the product.

ISO: Applicable if manufacturer of this product has a valid ISO certification. If manufacturer does not have ISO, it is possible that we can still include this logo as AdvaCare also has this certification (but our ISO certificate is for management and not production). This can be checked with Salesperson or Product Manager.

Quality Approved: This is just one of the USPs we can use which means that the production of the product(s) is being overseen by the Quality Control of AdvaCare and we guarantee the quality standard. This logo can be used in any promo design.

USA Quality Standards: Same as Quality Approved logo, can be used for any promo and basically means that AdvaCare is an American company with US standards of quality.

2.9. Website:

Promo Specialist is to choose what format to use in the promo design:

2.10. Optional Elements:

  1. Benefits/Features Icons: Promo Specialist is to add the text or icons of the product benefits.
  2. Approved by [country health authority] + Logo: For example, if the product is registered in the country of the distributor, we can add “Approved by Guinea Ministry of Health”. This part can be checked with Salesperson.

2.11. Benefits:

  1. Product related benefits (a list of product or product range benefits): Promo Specialist can research information on the internet, use ChatGPT to gather information on the benefits.
  2. Ingredient benefits or formula benefits: Can be researched on the internet. The benefits here would be about the unique ingredients, their purity, formulation strength and other USPs.

2.12. Distributor Info:

Promo Specialist needs to select what information will be used in the design of the item:

2.13. QR Code:

Each AdvaCare product has a QR Code which will lead to the relevant page on the AdvaCarePharma.com website.

There are a few options what QR Code can be:

  1. Leading to the exact product page on the website: For example, Vitamin C 500mg tablets to the website product page. Applicable in our case if a wall poster is being done only for 1 product.
  2. Leading to the product range: For example, supplement product range page. Applicable in case the promo item is about a few products of the same range.
  3. Leading to the homepage of the website AdvaCarePharma.com. Applicable when the promo item contains products of different product ranges.

After all columns are filled, Promo Specialist needs to send a task to the Marketing Manager to confirm the content. If the information is missing or incorrect, the Marketing Manager can request the revision.

After the Marketing Manager confirms the content, they send a task to the Design Specialist to proceed with creating the mockups.

Design tasks must be as detailed as possible, Promo Specialist needs to list the following information in the task:

  1. What printed items have to be designed [link to the folder where the tabs are already filled with content information]
  2. Where the assets are located [link to the folder]
  3. For physical items: how the logos should be placed, what logos are applicable

Once the design task is sent, Promo Specialist should set the deadline for Design Specialist to complete the mockups. Deadline should be 3-7 days from when the design task is sent.

Promo Specialist proceeds with milestones PROMO 4 (actual date) and PROMO 5 (estimated date) to facilitate the process and revisions, and understand who is responsible for the current step, what is to be done, set activities.
