Confirming Promotional Materials Designs

Once everything is confirmed from Promo Specialist side, mockups should be passed to Marketing Manager. Promo Specialist will send a task to Marketing Manager saying designs have been completed and revised, please check if they can be approved. Proceed to fill out PROMO 5 and PROMO 6 Milestones.

Marketing Manager is responsible to confirm:

  • Final promotional items list and items quantities makes sense and serves the purpose of this promo order
  • The content is correct and has no mistakes
  • Designs follow the general logic

If Marketing Manager wants something to be revised it has to be addressed via task, then Promo Specialist will confirm the requirements with the Marketing Manager and send another task to Design Specialist.

After Marketing Manager approves final designs (Proceed to fill out PROMO 6 Milestone), mockups will be passed to Account Manager for confirmation via task:

After the task is sent, proceed to fill out PROMO 7 Milestone.

If the Account Manager wants something to be revised, they will send a task to the Promo Specialist with the feedback. Promo Specialist will need to coordinate with the Design Specialist to implement the changes correctly, and it is supposed to be the last round of revision. In order to timely manage revisions, Promo Specialist needs to set deadline by setting activities to Design Specialist on the requested revisions.

Once the revisions are done by Design Specialist, Promo Specialist will receive a task:

Promo Specialist and Design Specialist are accountable to make sure all revisions are completed as per requested.

Promo Specialist will send a task to Marketing Manager to approve the final mockups.

If the revisions are approved and the stamped/signed BA Letter has been received from the Customer, Promo Specialist will send a task to Account Manager to inform of the completion of the revisions, requesting the final confirmation and fill out PROMO 7 Milestone:

From the Sales Dept. side, Account Manager conducts QA by checking the promotional materials, and then sends the promotional materials to Sales Dept. Manager via task for final approval:

Once everything is confirmed from Sales Dept., Promo Specialist will send the mockups and quantities to the customer for confirmation, using the email template and will proceed with PROMO 7 – 9 Milestones:

Promo Specialist should expect the customer to reply within 2-3 days from when the email is sent. If there is no reply from the customer, Promo Specialist will send the customer a follow up email using the template. If there is still no reply, Promo Specialist will need to send a task to Account Manager to ask them to follow up with the customer.

If the customer asks to revise something in the promotional material, and only if the requested revision is within reason and our company policies, then Promo Specialist will send a task to the Design Specialist for revisions. Once the Design Specialist finishes, Promo Specialist will check and send it to the customer for confirmation.

If the customer confirms everything, then Promo Specialist can move to the next step and proceed with PROMO 9 – 10 Milestones.
