Once the order is confirmed by the customer, Salesperson need to move forward with the order processing, therefore, inform other relevant departments of the order confirmation.
Sales Department:
Salesperson needs to add label “PRODUCTION” in SO by clicking on the button for the label to appear and for the notification to be sent in the Chanel #Sales Dept: Order Production Begun Notifications.
This label will appear:
And this notification will be sent in the chatter:
This way all Salespeople in the company will be informed of the products planned to be produced and can offer these products/samples to their leads/accounts.
Now, the Salesperson needs to reflect the correct OPP, SO stage and task stage:
OPP: move to “WON”
TASK: move to “ONGOING”
Confirmed RFQ has to be under “SALES ORDER” stage
Accounting
Salesperson will send message to Accounting in the SO chatter (not in Task chatter) to inform of the following:
1. Salesperson has generated the invoice
2. Send down payment request to the client
3. Provide Customer’s name(s) and email address(es) if this is a new Customer or if the Customer’s email addresses have changed.
Note: Some customers have more than one person to include in the payment request emails from Accounting Dept.
4. Mention the country of origin of shipment only if it is not China (ex: India, Malaysia)
Purchasing
Salesperson will send task to Purchasing person to inform of the following:
1. The Customer has confirmed the order
2. Prepare the POs
3. Upload the renegotiated prices from the Vendor (Inform if CPA is required)
4. Update the CBM if CBM excel sheet has not been prepared yet
5. Update the estimated Production Completion date in Milestones
Note:Note: It is important to know the CBM as soon as possible to inform the client. If the CBM is less than a full container, Salesperson must notify Customer now in case the Customer wants to add quantities or other products to fill the container.
Designer
Salesperson will send task to Designer to prepare the MOCKUP designs for this order. At the same time, salesperson will need to start to prepare the ORDER PACKAGING DETAILS for products. See Preparing Order Packaging Details SOP.
