Once a new order has been placed for products in a registration SO, the registration can be closed in the system. Additionally, there are times where some Customers may have completed a registration but are unable to start a new order for their own reasons. Regardless, the registration SO has to be closed in the system when site registration/all product registration under an SO have been completed/canceled.
Following are the checklist of things to be completed before a registration can be closed in the system:
1. Update Customer Contact - Profile, Internal Notes, Required Documents and Authentication: while processing a registration, often new requirements/change of requirements may occur. BD Salesperson must update these changes on the Customer Contact card. Other information such as sample feedback, company information, etc. must also be updated in the contacts card.
2. Refundable deposit amounts from the Manufacturing Agreement: all refundable amounts of the registration deposit must have already been added in the system as product “Issues”.
3. Registration Milestones: BD Salesperson must make sure that the registration order milestones are filled in completely for every step involved in the registration. Additionally, set the Registration Milestone REG: 16. Registration Closed date.
4. RA/PR Status: Make sure the status of RA/PR is updated.
5. PR/RA Cancellation Reason: If product registration has been canceled on the PR page or site registration has been canceled on the RA page, the field “Cancellation Reason” will pop up. BD Salesperson must select one of the reasons from the dropdown of the field.
6. Migrating Contents of RFQ Folder: BD Salesperson must ensure that all information in the registration RFQ folder (other than quotations) have been moved to the distributor/registration folder.
7. Duplicating Contents of India Registration Folder: for India registration, BD Salesperson needs to send a task to RA Dept. to duplicate the final registration documents to the distributor registration folder,
8. Duplicating Design of India Packaging Folder (not ordered): for India registration product which order will not be placed in the next 6 months of registration completion, BD Salesperson needs to send a task to Design Dept. to duplicate the final confirmed mockup packaging design to the distributor packaging folder.
9. Duplication India Sample Pictures: BD Salesperson needs to duplicate any sample pictures from the India registration folder to the distributor samples folder.
10. Canceling MA for canceled Registration: for new distributors that are unable to complete registration, MA may need to be canceled. Send an email to the distributor to request a written notice to terminate the Manufacturing Agreement.
11. Inform Accounting Dept. via task on the Project SO if a registration has been canceled and inform them of the Sub-SO# where the registration deposit was invoiced under. Or if there was no registration deposit, also inform them that we did not receive a deposit.
