Checking and Updating PR Document List

After the Vendor Registration Agreement is signed, RA Specialist will continue to work with the Vendor/Agent to provide all registration documents. Product documents of a registration are tracked under a PR. When starting to work on product document requirements, it is important to make sure that the PR is reflecting the correct document sources. Often some documents cannot be provided from the Vendor and needs to be sourced from the Agent. The default source of many product documents in the system is Vendor, RA Specialist needs to revise this as per the task sent by BD Salesperson.

Checking PR Document List

When working on Site Documents, RA Specialist will be on the RA page. Each RA page has a quick link to the PRs under it. These are the ways to locate the PR(s) to check on the PR Document List.

Follow these steps to locate the PR already created when taking over an RA:

1. Locate the PR through one of these ways:
a. On the top of the RA page, click on the “Registrations” button on the top of the page. Click on the quick link to find a table with the list of different PR(s) under that Vendor in this SO. Click on one of the PRs.

Note: Accessing PR through the RA will allow the user to scroll through PR pages within 1 RA quickly with the arrows on the top right corner of the PR page.

b. On the Registration SO Task, click on the “Opportunity Info” tab and scroll down to the “Product Registrations” section. A list of PR will be shown and accessible by clicking on the green font.

2. Once the PR page is open, the list of documents required under this product will be displayed on the table “Documents”.
3. Check the list and make sure if:
a. The “Responsible Entities” are correctly assigned.
b. All Vendor documents required have been informed to the Vendor to be worked on.
c. All Agent documents required have been confirmed with BD Salesperson.

Updating PR Document Responsible Entity

If a product document is not assigned the correct “Responsible Entity”, RA Specialist must change this. This normally happens when Vendor cannot provide a technical document and the document has to be sourced from the Agent. To update the “Responsible Entity”, follow this process:

1. Click “EDIT” on the PR page.
2. Click on the document to be revised, a pop up “Open: Documents” page should be visible.
3. Click on the “Responsible Entity” field and click on the correct Responsible Entity from the dropdown.
4. Click “SAVE”.

Updating PR Document Status

After checking the document list, RA Specialist can update the status of each document once they are sure that the documents are under process with the Vendor/Agents.

1. On the PR page, Click “EDIT”.
2. Click on the document to be updated and a pop up box will appear.
3. Move the document pipeline status from “DRAFT” to “IN PROGRESS”.

Note: For documents that have been received immediately from Vendor/Agent, skip this part and move to part 4 for this SOP.
4. Click “SAVE” on the bottom of the pop-up box.
5. Repeat steps 2-4 for all Product Documents in progress from the Vendor/Agent.
6. Once done, Click “SAVE” on the top of the PR page to save the PR update.
