Every shipment that is being sent out of the country of origin contains the products which should be reflected in SHP model. Logistics Person needs to add the products and adjust the quantities, as well as CBM information and weight. This SOP will explain how to add the products and details related to products into SHP model in the System.
How to add products to SHP
After creating SHP model as described in Creating Shipment Model SOP, Logistics person need to add the products, quantities and other details in SHP model.
1. Locate and open the relevant SHP document in the System.
2. Switch to 'Products' tab.
3. Click 'Load from Sales Order' button.
4. All products from the relevant SO will be uploaded to the shipment.
Note: The quantities of the products will be displayed based on quantities of SO. It is responsibility of Logistics Person to adjust the quantities in SHP according to the quantities that will be included in the shipment.
5. Remove the products that will not be sent with the shipment (if any). To remove the products click 'EDIT' on top of the screen and then remove the products by clicking 'Trash Bin' icon.
6. Adjust the quantities if necessary, to reflect the quantities that will be shipped in the shipment. To adjust the quantities, click 'EDIT' on top of the screen (if this wasn't done in the previous step) and then click on each product. Change 'Quantity' field in each product pop-up.
Note: The quantities should be adjusted according to CBM excel file provided by Purchasing Person.
7. At the same time as adjusting the quantities of the products, Logistics Person MUST check the CBM information for each product. If CBM information is not filled out, Logistics Person must fill it out according to CBM excel file provided by Purchasing Person. If CBM information is filled out Logistics Person must make sure that it is correct and matches CBM excel file provided by Purchasing Person.
Note: CBM information will be added to SHP automatically only if it is filled out in related SO at the moment of loading the products from Sales Order, but it might not be final and correct CBM information.
8. Check the weight information inside each product pop-up. If weight is filled out, Logistics Person MUST make sure that it is final and correct. If weight is not filled out, Logistics Person must fill it out according to CBM excel file provided by Purchasing Person.
Note: Weight information will be added to SHP automatically only if it is filled out in related SO at the moment of loading the products from Sales Order, but it might not be final and correct.
IMPORTANT: Logistics Person is responsible to check and make sure to have correct information in SHP model, that would reflect the correct and final products in the shipment, correct and final quantities of each product, correct and final CBM and weight information. All this information will be reflected in the exported documents for related to shipment booking, BL, customs clearance, so it has to be absolutely correct.
