Offboarding: Workstation Disabling

This document will enable the IT Administrator to disable a workstation in AdvaCare.

1. Receive Offboarding Request

Before starting the process, the IT Manager must receive an “ Offboarding: Workstation Disabling ” request as shown below:

Note: The IT Manager needs to keep the Offboarding task template always updated

2.Computer Health Checking

Evaluate the current status of the system (after the previous usage).

Check if it only requires a system cleaning

A cleaning should be performed when there are no malfunctions or damage to the system

Proceed checking the following aspects of the system:

Computer Data.
Computer Software.
Computer Hardware.

Check if it requires a re-formatting process

A computer formatting should be performed when there is any malfunction or damage to the system.

In case the IT Administrator needs to format the computer, there are 3 options to achieve this activity:

2. Formatting using Windows installation on USB.
3. Ask the person who works for Acer Office to reformat the computer (adjacent office to ours). To outsource this activity, follow the “ Outsourcing software installation ” SOP.

3. Evaluating Cleaning the Computer Data

1. Evaluate to save the local files from the system, ideally any file must have been saved in the Shared Drives of GDrive (as the IT Policy of the Company states)
2. Terminate current sessions (logging out) of accounts in the system.
3. Clear cache and cookies from Browser(s).
4. Perform a general local files cleaning (for example, using CCleaner).
5. Analyze using disk space using WinDirStat and delete unneeded files and folders.

4. Evaluating the Uninstalling of Computer Software

1. Uninstall desktop applications that are not required anymore. Using directly the Control Panel options or any external free-software, would be enough to perform the uninstallation of software.
2. Keep the common tools/software in the system, uninstalling any specific tool (per role). To learn more about this common tools list, refer to the main list of software in the “AdvaCare IT Assets”, “Software” sheet.
3. Clear existing software data linked (for example, using CCleaner tool) for software maintenance.
4. Additionally, run the Patch my PC application to update the remaining system applications (common tools list) automatically.

5. Diagnostic Computer Hardware Performance

1. Identifying the correct performance of the hardware is one of the most important aspects of the process of Workstation disabling.
2. Using directly the System diagnostic options or any external free-software, would be enough to identify any malfunctions of hardware components.
3. In case it’s required to proceed repairing hardware components, refer to the Repair/Fix System SOP
4. IT Assets document must also always be updated.

6. Check Network Connectivity in the Computer

Check that the network connection in the computer is properly working before closing the process:

1. Computer having proper network connection (LAN connection).
2. Printers and scanners are visible in the network for the Computer..
